Amazon Listing Reconciliation Procedure

Step 1: Export from Sitnsell the published account listings:

  1. Go to Sitnsel\Listings\Add Filter and Apply the following filters:
    1. Sales Channel: [Select chanel name] (Amazon.com)
    2. Stock Status: With Stock
    3. Status: Published
    4. Fulfillment Network: MFN
    5. Retire Mode: Not Parked
  2. Export the filtered Amazon listing.

Step 2: Export from Amazon Seller Central

  1. Navigate to: Menu > Reports > Inventory Reports.
  2. Select Report Type: Active Listings Report.
  3. Download the report.

Step 3: Prepare the Excel File

  1. Open the file Listings Export Request....xlsx .
  2. Enable editing.
  3. Add a new tab .
  4. In the new tab, select cell A1.
  5. Go to Data > From Text/CSV, and import the file "Active+Listing+Report+....csv" .
  6. Filter Column F (Quantity) to show values greater than 0.
  7. Copy all filtered data.
  8. Paste the copied data as Values Only into a new tab Sheet1 .
  9. Sort the data by Seller SKU in ascending order, with headers enabled.
  10. Delete columns B to C, then E to N, and then F to AI. You should be left with: item-name, seller-sku, price, quantity, asin1.
  11. Rename the tab to Amazon Listings .
  12. Delete the original tab named "Active+Listing+Report+...." .
  13. Save the spreadsheet.

Step 4: Validate Sitnsell Listings

In the Sitnsell Report tab, Freze Top Row and check Column A for empty fields.

  • If a field is empty:
    1. Search Sitnsell and Amazon listings by UPC (Product_Id) or SKU and compare UPC/SKU/ASIN from Sitnsell listing with the Amazon listings.
    2. Delete the listing from Sitnsell if the UPC maps incorrectly.
    3. Add the ASIN to the Sitnsell listing if all information matches.

Step 5: Data Mapping: check Amazon Published listings not in Sitnsel Listings

  1. In Listing Export Request\Report tab copy columns A:S.
  2. Paste as Values Only into Amazon Listings , starting at cell G1.
  3. In cell F2, insert the following formula: =VLOOKUP(E2,G:Y,1,FALSE) (remove 1. in front of = resulting from copy and paste)
  4. Copy the formula in F2 down the column to match all rows in Column E.
  5. Freeze the top row.
  6. Apply filters to the entire sheet.
  7. In Column AC, filter to show only #N/A values.
  8. Ckech one by one all the ASIN1 in Amazon and Sitnsel. Double-check UPC/ASIN accuracy between platforms. Check if the item exists in Sitnsell and if the SKU matches between Sitnsell and Amazon. (remove with inventory when filter)

Step 6: Cross-Check Sitnsell Listings Missing in Amazon

  1. Copy the ASIN1 column from the Amazon Listings Report tab.
  2. Paste it into the Sitnsell report, starting at cell AI1.
  3. In cell AH2, enter the formula: =VLOOKUP(A2,AI:AI,1,FALSE)
  4. Copy the formula down to align with the values in Column AF.
  5. Freeze the top row.
  6. Apply filters to the entire sheet.

    In Column AH, filter to show only #N/A values.

    Review each unmatched #N/A entry:

    1. If the ASIN on Amazon shows "Requires approval," or the listing is missing a UPC or ASIN, delete it from Sitnsell (don’t park it) with the appropiate message.
    2. For listings missing key details like color, size, etc, try to find a similar product's ASIN and update the Sitnsell listing. Remember: only the brand owner or approved resellers can usually edit product details on Amazon. If nothing is available, go ahead and delete it from Sitnsell.
    3. If you are able to make changes, check the listing again in a few hours. If nothing changes, go ahead and delete it from Sitnsell.

Mandatory Practices:

  1. The UPC/ASIN/SKU; they MUST match between Sitnsell and Amazon.
  2. To update an SKU on Amazon:
    1. Delete the existing listing from Amazon
    2. Update the SKU in the Sitnsell listing
    3. Save the changes
